The PRAIORITIZE navigation bar at the left side on the Global-/Group Virtual Consultant gives a crisp answer to two essential aspects. Whose Virtual Consultant is this? And how many respondents have answered the assessment? Besides these key indicators on the navigation bar, there is much more to know about the response.
Click on the navigation bar to open the Conclusion page:
Analyze > Respondents > Conclusion
Conclusion
The Conclusion page shows the number of respondents - for example - the departments the respondents are working in, their roles, and the location where they are working. You can click on the column headers to sort the tables.
Next, two circle graphs show the percentage of respondents who answered anonymously and the percentage that indicated they want to share/exchange knowledge with other respondents. If the assessment does not contain the opt-out question for respondents to share knowledge, this second circle diagram will not appear.
The table below the circle graphs is called "RESPONDENTS." It shows all respondents and their responses to the respondent's personal details: their department, location, role, etc., but also additional questions about age, gender, etc. These personal details may differ per questionnaire. The column headers can be used to sort the table. In the upper right corner, you can choose the number of respondents shown (NONE of them, five respondents, or ALL of the respondents). Next, clicking on the Wheel icon (next to "All") allows you to select which columns are visible in this table.
The Respondents table is used to manage several aspects of the respondents.
Click on the "3 dots"-icon for the respondent you want to manage.
- Edit allows you to have a look at the respondent's answers to the questionnaire and allows you to make edits if necessary. For example, when a respondent has moved to another department. After discussing the answers given with the respondents, the respondent feels the need to adjust a few answers here and there.
- Virtual Consultant gives you access to the respondent's Personal Virtual Consultant. You can pull up this VC to review the respondents' scores, profile, or list of praiorities. This option is not visible if the assessment comes without respondents' Personal Virtual Consultants. The items displayed on the respondent's Personal Virtual Consultants depend on the settings indicated by the Assessment Owner in your organization.
- With Send the link, you can send a standard email with the link to the respondent's Personal Virtual Consultant. Usually, this function is used when a respondent can't find the email with which the link to his Personal Virtual Consultant was initially sent at the moment of answering the questionnaire.
- Suspend is used to keep a respondent out of the results temporarily. For example, if you want to narrow the Virtual Consultant down to a subset of the respondents' group.
- Delete deletes the respondent (both personal details as the answers to the questions). This is an example of ' privacy by design' as advocated in many privacy guidelines: the so-called 'right to be forgotten.' Respondents can invoke this right and ask you to be deleted from the database.
The Send link to all button at the bottom of the page sends all respondents a standard email with the link to their Personal Virtual Consultant. The text of this standard email can be modified in via "MY AUDIENCES" > "EDIT THIS AUDIENCE" > "DESIGN & TEXT" > "CUSTOM TEXT" and is usually managed by the Assessment Owner in your organization.
Questionnaire
When using the Global-/Group Virtual Consultants, you often want to review the Questionnaire's structure or perhaps a specific question and its answers. The Respondents > Questionnaire page provides a permanent reference to all questions and their answers in the assessment.
Download Response
Another aspect of privacy is that you always have access to the answers given by the respondents. Therefore, it is possible to download the response of all respondents in your group to Microsoft Excel. This download functionality also comes in handy if you want to do some additional data analysis unavailable in PRAIORITIZE.
