In Audience > Define respondents > Key info, you defined key questions like the respondent's first name, last name, and email address. Plus, you asked permission to share knowledge, allowed the respondent to provide comments, and perhaps asked additional questions. You can personally address the respondent and send them their Personal Virtual Consultant with this key info.
This was all about the respondent himself. But that respondent usually works in an organization. So, you also want to know this person's department name (e.g., "Marketing"), their role (e.g., "Manager"), and their location (e.g., "Division ABC" or "London"), allowing PRAIORITIZE to automatically creates Group Virtual Consultants for each of those groups. These groups are defined in the "Organigram"-section.
Setting up the roles
By default, PRAIORITIZE prefills the Role group. In the example below, the default values have been replaced by roles appropriate for this assessment:
- The default naming is 'Role,' but you can change this to any other label you like.
- The caption with which this label is presented in the online assessment. The label (#.1) is used in tables in the Virtual Consultants to improve the tables' readability.
- You can enable a field and make it mandatory. Only use mandatory fields sparsely.
- Here you can select one of the roles ...
- ... that you can edit ('PEN'-icon) or move to a different location (using the 'Arrows'). Click on the 'PLUS'-icon to add a Role and on the 'MINUS'-icon to delete.
- The 'EXPAND'-icon enables shows you which manager has been assigned as the dashboard owner. Later on, in the Assessment, you can automatically send every manager their Group Virtual Consultant in one go. You can assign a manager to a Group VC by clicking on the 'EDIT'-icon.
Setting up the other groups
The other three respondent groups are set up in the same way. Default values are 'Department', 'Location', and a 'Free Group'. You can freely reassign these default values to something else. e.g., 'Cluster' or 'Team' rather than Department. 'Division' or 'Country' rather than Location.
Uploading your organigram
If you serve a larger audience with many roles, departments, and other groups, you can decide to upload all these values, plus their owners, in one go using the Excel template. Click on the download button and add, edit, or delete the values. For demonstration purposes, we're adding a new dashboard owner (here, in green font; the font is not required during actual use) for the Group Virtual Consultant showing all the Product managers:
Click on "UPLOAD ORGANIGRAM" (1.) and see your alterations uploaded (2.):
Defining who sets the improvement target
The last option on the 'Organigram' page is to decide who sets the improvement target. The default value is the Assessment owner, but you can also decide to delegate the right to set an improvement target to, for example, a department or a location.
